Position Description:

Office Management

  • Order and manage monthly office supply deliveries to stay within budget
  • Enforcement of office policies
  • Seating layout
  • Rebuild of workspace - office planning
  • Keep kitchen and break rooms organized and stocked with supplies at all times
  • Maintain all conference rooms’ cleanliness and general appearance of the office
  • Coordinate large shipments in accordance with building regulations, execute certificate of insurance when necessary
  • Work with managers to ensure all office policies are being followed
  • Maintain Pitney Bowes mail machine, retrieve and distribute mail
  • Office planning

 

Building and Vendor Relationships

  • Gate keeper of relationship with building
  • All building and floor maintenance issues
  • Coordinate our relationships with the building’s management (Tishman Speyer), and outside vendors such as the snack and beverage vending machines, coffee machines, water and ice dispensers, plant distributor, shredding, office furniture, supplies, name plate vendor and framed artwork freelancers
  • Negotiate premium pricing and service contracts with vendors
  • Manage all maintenance, engineering, heating/cooling issues within the building

 

Company-Wide Event Planning

  • Charity 
  • Company-wide food orders
  • Help plan events for employee morale-boosting
  • Track staff spending and work within budget to maintain monthly perks
  • Meet with managers to discuss quarterly budgets and how to best use funds to improve staff experience
  • Maintain records for events including budgets, photos and vendor information
  • Organize staff anniversary dinners and awards 
  • Organize all large company-wide events including quarterly gatherings and town hall meetings
  • Run 5 and 10 year anniversary dinners and gifts
  • Department events - keep within budget, new fun ideas for employees

 

Position Requirements:

  • Competency in Microsoft Office
  • Computer and Internet savvy
  • Strong organizational skills with a great attention to detail
  • Effective communication skills
  • Team-oriented personality that can work with all levels of staff
  • Ability to work with limited supervision
  • Flexibility with workload; able to multitask and switch gears when needed
  • College degree preferred
